Smart documentation
Smart documentation is an approach to managing information in which content is structured and dynamic rather than fixed, so each user sees only what is relevant to their role and current task. Instead of a static PDF or manual that presents the same content to everyone, smart documentation applies filters, tags, and role-based logic to surface the right information at the right time.
This differs from traditional document management, which typically digitizes and stores files without changing how content is structured or delivered. Smart documentation restructures the underlying content itself, which is what allows for role-specific views, automated compliance tracking, and structured change workflows.
Why it matters: In regulated, safety-critical industries, showing every user the same static document creates information overload and increases the risk that people miss what’s actually relevant to them. Smart documentation reduces that risk by design.
