Smart Documentation
What is Smart Documentation?
Smart Documentation is a modern approach to information management that moves away from static documents to create dynamic, role-specific content. This method ensures users receive the most relevant and up-to-date information tailored to their needs. Yonder’s smart documentation system offers features like powerful search tools, seamless revision trails, and automated compliance updates, making it efficient and user-friendly for managing complex operations, manuals, guidelines, and regulations.
What is an Information Module?
An Information Module is a unit of information that can be enriched with additional details. Other XML-based systems refer to this as “documentary unit”. Information modules can range from a single sentence to more complex content, and they are designed to offer more than just static content display. They enable dynamic functionalities, such as reusability across documents, role-based content filtering, and linking to compliance databases. This modular approach allows for scalable, efficient, and dynamic documentation that adapts to different needs and requirements in real time.
What is Dynamic Content?
Dynamic content refers to information that adapts and updates in real time based on user roles, tasks, or specific needs. Unlike static content in classic documents like PDF, which remains fixed, dynamic content changes contextually to ensure relevance for the user. This approach improves efficiency, enhances user experience, and ensures that individuals receive the most accurate and up-to-date information tailored to their responsibilities. Dynamic content is particularly valuable in complex and regulated industries where information needs to be precise, timely, and accessible.

Getting Started
How do we get started with Yonder?
Starting with Yonder is straightforward and user-friendly. The process includes:
- Data Migration: Use Yonder’s importer to quickly convert Word, PDF, or XML files into dynamic smart documents.
- Training: Tailored training for readers, editors, and superusers ensures your team is fully equipped to use the platform.
- Onboarding: Customized workshops help define filters, workflows, and content structures specific to your organization.
What's a Base Module?
The Base Module offers the full functionality of Yonder. Designed to get you started with ease, the base module offers everything to help you create, edit, approve, publish, and view smart documents within Yonder’s fully integrated system.
Our approach is flexible, allowing you to allocate the included 50 users between editors and end users according to your organization’s needs. Whether your team consists of technical writers, subject matter experts, auditors or end users that will only be viewing the information, the Base Module provides everything necessary to establish smooth and efficient documentation processes.
Onboarding
To make your transition to smart documentation seamless, we include standard onboarding with every Base Module. The onboarding package consists of content and workflow workshops, initial system setup, and training – ensuring your team is equipped to start using smart documentation successfully from day one.
Create & Edit
Create new documents from scratch or import existing ones to get started – our easy import turns XML, Word, and PDF into smart Yonder documents with ease.
Editing information is done directly in Yonder. This enables document managers to keep using all the editing functionalities of traditional documentation software like Microsoft Word, while adding smart features to trigger, discuss, check, approve and notify changes effortlessly.
Prevent potential conflicts of information by reusing the same information module in multiple documents, meaning information will automatically update across all documents once changed in a single place.
Link your documentation with external regulations and receive automatic change requests when there’s a change in regulation that concerns your documents.
Approve & Publish
Manage all changes in documentation with a streamlined process that automatically notifies relevant stakeholders if an approval is needed and prompts impacted users that there has been a change that concerns their role.
This not only eliminates the back and forth emails but also leaves an audit trail of changes and approvals as well as which users were notified and which users “read and acknowledged” the change.
View
All documents can be accessed via browser or our offline capable apps on iOS, Android and Windows.
Information is grouped together based on pre-defined roles, so the user only sees the information that’s relevant to their mission and task at hand, reducing information overload.
Critical information can be accessed in no time by using content filters that work both in documents as well as across the entire library.
When should we add additional users?
Adding additional users ensures the entire organization can access and view smart documents within the platform, benefiting from Yonder’s advanced functionalities like role-specific content and dynamic updates within a fully integrated system. Expanding user access is required when more than 50 individual users need to collaborate or interact with smart documentation, ensuring all stakeholders are compliant and working with the latest information.
Yonder’s base module already supports up to 50 users, allowing you to allocate them between editors, viewers, and approvers in a way that fits your structure. After the 50-user threshold has been reached, you can still distribute documents ourtside of Yonder as PDFs, but none of the smart features will be available in these documents.

How does Yonder differ from PDF?
Dynamic vs. Static Content:
- Yonder provides dynamic content that can be customized and updated based on user roles, tasks, or specific needs. This makes it far more adaptable and user-centric compared to static documents like PDF, which do not allow for easy updates or personalized content delivery
- PDF, on the other hand, are static, meaning they contain fixed information that cannot be easily altered or tailored to different users without manual intervention. This limits flexibility in fast-changing environments.
Search and Navigation:
- Yonder includes advanced search functionality, allowing users to quickly find specific information within large collections of documents. The ability to filter content based on role or task further improves accessibility.
- PDF often rely on basic search functions, and while many PDF readers support text search, they don’t offer the same level of document filtering or role-specific customization as Yonder.
Collaboration and Workflows:
- Yonder integrates collaboration tools, including workflow management, version control, and role-based permissions, enabling teams to work together efficiently on shared content. It supports approval processes for individual changes and not just entire documents and ensures that only the latest versions are used across teams.
- PDF are typically not designed for collaboration; they lack built-in version control or easy tools for real-time collaboration, making them less suited for team-based environments where document updates are frequent
Compliance and Auditing:
- Yonder offers automated compliance updates and audit trails, which help organizations ensure that they stay compliant with industry regulations, especially in highly regulated industries.
- PDF offer no built-in mechanism for compliance or audit tracking, meaning users need external tools to manually track changes, updates, and ensure compliance.
Offline Access and Integration:
- Yonder provides offline access , making documents available anytime, anywhere, even in areas with no internet access.
- While PDFs can be accessed offline, they don’t provide the same level of interactive or dynamic content, nor do they integrate easily with other systems or automate content delivery.
How does Yonder differ from using Word?
- Dynamic Content: Unlike Word, which works with static documents, Yonder allows for dynamic, role-based, and task-specific content. This ensures users only see the most relevant and up-to-date information based on their roles.
- Collaboration and Workflows: Yonder includes built-in collaboration features, such as workflow management, approval processes, and automated updates for compliance. Word does not provide integrated tools for managing these aspects, making you reliant on other systems.
- Compliance and Audits: Yonder provides automated compliance monitoring, audit trails, and revision history, which is critical for regulated industries. Word lacks these features and requires manual tracking for version control and compliance.
- Offline Access: Yonder allows users to access documentation offline via its iOS, Android and Windows apps, which is particularly useful for frontline staff. Word documents can be accessed offline, but they don’t provide the same level of user-centric functionality.
- Advanced Search and Customization: Yonder includes powerful search capabilities and content filters, making it easier to find and customize documents based on user needs, whereas Word doesn’t offer advanced content navigation or filtering tools
Can Yonder be used offline?
Yes, Yonder supports offline access across multiple platforms, including iOS, Android, and Windows. This ensures employees can access critical information anytime, even without internet connectivity, making it a versatile solution for users on the go or in environments with limited connectivity.
